All Microsoft recipients go to spam, even MS-to-MS. Domain/mailboxes are from Instantly. Why?

I’m running inbox placement tests in Instantly, and all Microsoft recipients are landing in spam. Setup detail: the domain and mailboxes were bought through Instantly. Results: Google sender → Google recipient: inbox Microsoft sender → Google recipient: inbox Google sender → Microsoft recipient: spam Microsoft sender → Microsoft recipient: spam I also tested a plain-text email with no links, no tracking, no images, no attachments, and it still went to Microsoft spam. Domain report shows SPF, DKIM, and DMARC are set up, with DMARC at p=reject. Missing MTA-STS/TLS-RPT/BIMI, but I don’t think that’s the main issue. What should be my next steps?

Off to a Discouraging Start

Hello all, I’m located in north Texas around the DFW area. I got licensed and started up shop around the end of April. Since then I’ve been hitting open houses on the weekends talking to roughly 10-15 agents each weekend, some good experiences, some not so great which is to be expected. I’ve also started doing some marketing now with setting up a website and Google LSA. I’m getting a bit discouraged since I have only had one inspection so far and it was a referral from a friend. I don’t have any reviews yet on my Google Business Profile so it obviously isn’t helping me out much but I’m wondering if there is anything more I could be doing? Should I just keep being patient or is there anything else I’m missing? (Money isn’t the issue, I have a full time career with very flexible hours which allows me to do this as well) Thank you for any and all advice

Do you build HTML emails from scratch every time, or do you have a shortcut?

Hey everyone! I make HTML emails now and then — team updates, small newsletters, that kind of thing. And every time, I feel like I'm starting from zero. The writing part is quick, but getting the layout to actually look right (and not break in Outlook or gmail...) always takes way longer than I expect. I'm curious how others handle this. Do you keep a base file and reuse it, and how do you structure it? Copy from an old email? Use a tool? I feel like I keep rebuilding the same thing over and over and there must be a smarter way...

Is anyone getting blackholed? (Emails not even going to spam). I'm sending around 35,000 emails a day by the way. Dropped from 3% to around 0.1% response rate. Paying big bucks too (around $8000/mo.).

I had 200 domains x 5 inboxes..... 1000 inboxes x 5 emails = 5000 emails a day at around a 3% reply rate = around 150 responses a day. It was a glorious time for someone new to this. Then, my 1000-inbox health went into the gutter and my response rates went to around 0.2%. I think my inboxes got "fingerprinted" and "clustered" and got slapped. So, I upped it to 1000 inboxes x 35 = 35,000 emails a day. Some emails were going through as I am getting some responses -- I've been hovering around 0.2% response rates = 70 a day. Now, it's even less. Today it was like .006%. I figure geez, even if it's going to spam, I'd get some responses. Now I'm wondering if I'm getting blackholed. I got another 300 inboxes cooking up right now. Warmed for a few weeks. Getting ready to test on those with brand new scripts. Maybe I'll see 3% response rates again at least temporarily. I'm paying big bucks too, actually $8500/mo. when you count the 300 inboxes. Has anyone ever got blackholed, where Gmail Microsoft etc is just nuking the emails and not even sending to spam?

I dont entirely understand what im doing

I recently decided to start my own custom build and fabrication business. I have all of the skills to design and make pretty much anything people want to hire me to make but I have no idea how to find customers. I know that the market is out there. Most scenic carpentry shops ive worked for are always pretty slammed and theres alot of shops actively hiring on people to keep up with demand. For anyone in political consulting, what's your outbound lead and funnel strategy?

Hi Y'all I run a public affairs company doing both PR and Government affairs for nonprofits and corporations doing social impact work, and I wanna figure out a outbound leads strategy. For the most part, we've focused almost entirely on networking for outbound leads, but that's exhausting and takes up ALOT of time. For my industry (political), many people are relationship based, but we've moved and are starting from scratch. Anyone else's inquiries just... not converting anymore?

Ok so small business owner here and I need to know if this is just me or if it's happening to everyone. Up until last year I was doing pretty good...llike 30-40% of the people who messaged me actually turned into paying customers. Now it's dropped to like 2-4%. Nothing on my end has changed. I haven't touched my prices, I still reply fast.. product's the same. But the way people message me now is so different. Out of every 100 messages, about 50 just ask "how much?" and then disappear. The other half almost always try to negotiate, and when I tell them I can't discount because I think my prices are already fair.. they just leave me on read. Not even a "no thanks" So out of 100 inquiries I'm lucky if 2-3 actually buy. It's honestly draining.. I spend time replying, sometimes putting together custom quotes.. and then just get ghosted the moment I don't lower the price. Is this happening to other small business owners too right now? Are people just way more price-sensitive/negotiate-happy than before? Or could this be something I'm doing wrong? Genuinely want to know how others are dealing with this.

Cold email marketing setup?

Hi builders, Just like many of you, I have recently created a product, and am trying to scale up my marketing operation. While I've got decades worth of technical knowledge, my marketing chops are still junior. To get the most leverage, I scraped a few thousand leads off of an online directory, verified and cleaned them up as best I could, set up a marketing domain to preserve reputation ("getx.com", where "x.com" is my main domain), set up the proper DNS records, got a bunch of Zoho inboxes, and threw them into Instantly for warmup. Was feeling pretty accomplished at that time. You can sense the 'but", and here it comes: I didn't wait long enough to warm them up, didn't apply spintax, and then saw my deliverability plummet, followed by a Zoho ban due to a ToS violation. I'm a bit at a loss now. I guess my domain is burnt now, time and money wasted. For those of you who did it right: how did you do it? Which tools and runbook did you use? Much obliged.

Why am I getting no calls?

Hello everyone. I own a small HVAC business and have been in business since 2023. It has not yet taken off to the poont that I can even consider quitting my other job, but this year seemed like it was going to be that year... until it wasn't It is now the beginning of July and the middle of a heat wave and I am getting no calls except for a few from repeat customers and people who know me personally. My break even per month is roughly 4k, not a lot when you can generally make that gross profit in one job, but the bank account lately has been slowly dropping and I am now at the point of having just enough cash reserve for one month... thats it. I have tried all of the things that I know how to. We lost 10k to angi leads that landed us 1 job in 8 months, I am paying out the nose for SEO that seems to not get us anywhere, and am currently dumping another couple hundred into facebook ads which I also fully expect to just be more money dumped down the drain. I don't come from wealth or any business background. I am used to living on near nothing, but I am quite frankly tired of doing so and was hoping that being the owner of something was the answer. Is there anyone here who has experienced anything like what I am going through? And if so what did you do to get out of it? What am I doing wrong that is keeping my phone from ringing in the middle of a heat wave?

Starting a small business in Chicago, how do I find customers cost effectively?

Hii! I'm a barber who just opened a small studio shop. I just moved here in March and don't know anyone. I moved from Denver and had done the same thing with great ease. Although there are a lot more people here, I am struggling to really get going. I've tried paying for Google ads and posting in Facebook groups but they're not seeming to help me find customers. Any other solo business owners on here have any advice ? Are there free places around Gold Coast, Old Town to post fliers? How effective is it really to just hand cards to people here? Thanks!!

Has anyone actually started getting clients or orders from social media posts?

I have been thinking about this a lot lately and wanted to see what others are experiencing. A lot of people say you should post consistently on social media to get clients or orders especially on platforms like Instagram, LinkedIn, and TikTok. So I started trying that and kept posting regularly The content gets views and some engagement but I am not really seeing it turn into actual clients or inquiries yet. It makes me wonder if I am missing something in how I am presenting my work or if it just takes much longer than expected for people to actually trust and reach out. Need some help. Stopped working after 3 years

Have been a long-time lurker but need some help now. I have been cold emailing for 3 years from Gmails very few private domains. But since mid-June, all my emails have started going to spam. I don't mail more than 5 to 6 per ID. These IDs have been on warmup for years. Also, not every ID is used daily. I spin my mails completely on the sentence structure level. Even the seed message is extremely unique. Still landing in spam. Warmup score across these is 100%, and also generic emails manually sent are going to inbox. Tried these things since june mid: 1. Switched to sending through SmartLead instead of manually. Still spam. 2. Turned off tracking pixel. Still going to spam. 3. Bought a few domains and started mailing through SmartLead in very little volume, like 3 to 4 per mailbox while in warmup. Still going to spam. So my question is how can I fix the situation? At my wit's end currently after trying numerous things.

Best instantly alternative before my agency's sender rep completely tanks? Need something that handles Linkedln too

Running about 50k emails per week across client accounts. Instantly's warmup is fine but I'm hitting API limits trying to build custom reports, amd their A/B testing is basically useless support takes days to respond. Tried Smartlead for the subsequences and webhooks. UI felt clunky and deliverability dropped even with proper warmup. Not sure if it's the tool or my setup. Also juggling Apollo for data(bounce rates is killing me) and separate Linkedln tool. Too many moving parts. Someone mentioned warmySender for the peer-to-peer warmup and built-in verification. $15/mo with Linkedln seats as add-ons. Haven't pulled the trigger yet. What's your stack look like at this volume? Especially if you're managing multiple clientvdomains and need Linkedln running alongside email.

Apollo.io burning mailboxes

Has anyone else been using Apollo.io recently and no matter how long your inboxes warm up, the deliverability rate is terrible? In the last 2 months, we’ve had 5 mailboxes in the warmup phase that continue to show unhealthy deliverability and an extremely high spam rate. Is Apollo.io servers totally fried?

Active Intelligence -- What I discovered

I must admit, I'm quite disappointed. I write this in hopes that continued improvement is coming. Here's what I tried to do: (1) Take a very involved prompt that include voice, tone, brand colors, step-by-step instructions to create a 6-email re-engagement workflow with BRANDED emails and copy provided. (2). Each email was using the same format. Essentially brand colors with a single CTA button. If clicked, tag. if not clicked, continue to next step in the workflow. (3). The emails were to be delivered over 19 days. (4). I originally had some resends-after-1-day but removed it because it got confused. What I discovered: (1). I could only upload 1 doc (.pdf/.docx) at a time to the AI. So, providing it my brand it, email content, sytle, etc was painful (2). During the first attempt, it create the workflow...close but NONE of the emails had the correct content and definitely not styled or branded even though it prompted for every single email and content. (3). After the workflow was created with the templated emails, it could not fix them usig AI...I would have to copy/paste/re-create each email manually. Waste of time. This was a glorified workflow builder. (4). I then discovered it "could" and I use that loosely, RECREATE the entire workflow WITH the content of the emails but not really styled like I wanted. What I wanted was "no images" and 1 single CTA w/my colors button....THAT'S IT. (5). What it created was the workflow using the words but in a newsletter style EMAIL...absolutely horrible. Ugggh....SOOOOOOOOOO disappointed. It didn't get the workflow w/the resends correct nor the emails. To be fair, as of today (July 2, 2026), I cannot do this totally in my test GHL account .....HOWEVER GHL did create the workflow much better. ....AND In GHL, I could create a "template" for the emails (from AI) that I wanted to send and then choose the template style + copy and paste the content with my brand and colors per email. I did not see a way to take a generic email from the process in AC and replace it with a branded template nor could I use AI to spruce up the generic email with the workflow/designer setup. What I hope is coming: 1. The ability to use branded and/or templated email styles in the AI generated workflows. Merge my content + my template 2. The ability to use AI to update/modify the emails 3. The ability to upload more than 1 doc at a time or have it access a google/cloud drive or folder for resources \activeintelligence

how are you guys dealing with the recent spam filter updates

my open rates completely tanked last month and my agency outreach is barely scraping by right now. i have been trying to scale but doing everything manually is just taking way too much time. i want to build a proper multichannel sequence to fix this but i am totally lost on the technical side. for those of you doing this successfully what exactly does your tech stack look like. do you use separate platforms for finding leads and sending messages or do you prefer an all in one solution. i just need something that actually keeps me out of the spam folder and saves me a few hours a week

5 month old domain, 16 emails in, going straight to junk. What can I do?

Forgive me as I am new to this. Registered my domain in February. Been working on building the branding and website when I come home after my day job. I'm at the point now where I am ready to start reaching out to businesses. Unfortunately I did not know about the concept of "warming up" first. I have sent \16 emails in the last week and a half to businesses. Called one today to ask if he'd seen it, to which he replied "no." When I tested it by sending the same email to my personal, it went to junk. Same with the other 3 emails I sent it to. My score on mail-tester was 9. I'm confused. What can I do to get myself out of the junk box? My email signature is a png image so I removed that and stopped putting my website link at the bottom of the email too just incase, but still went to junk. New to all of this again so forgive the ignorance.

[Google Ads][España] Landing page que no convierte

Hola, me podríais ayuda a hacer una review de esta landing page por favor? El caso es que en mi campaña de google ads llegan muchos click y en principio los datos de la campaña de búsqueda de google ads son buenos pero por alguna razón todos estos clicks no acaban en leads. Tengo una buen % de impresiones respecto a mis competidores, CTR de un 17%, palabras clave transaccionales en concordancia exacta, campaña segmentada a la zona donde se da servicio.. etc. por lo que no deberian llegar personas no interesadas en los servicios que se ofrecen. Que creeis que debería mejorar en la landing por orden de prioridad para conseguir más clientes? Gracias!

cold outbound is yielding zero meetings this quarter

We’ve been running cold email campaigns targeting VP of Engineering titles for the past 6 weeks. Out of 400 targeted prospects, we got exactly 2 replies and both were just rejections. The copy is short and we use personalized lines, but the open rates are completely tanking. We tried switching to LinkedIn message automation last week but that just got one of our executive profiles restricted for 3 days.
