Find Virtual Assistant Clients on Reddit

Real founders asking to hire virtual assistants and remote staff on Reddit right now, updated weekly.

Overwhelmed founders ask Reddit before they ask an agency: "At what point did you hire a VA?", "Where do I find a reliable assistant for email and scheduling?", "Need a developer for 20 hours a week without a recruiter fee". r/Entrepreneur, r/smallbusiness, r/virtualassistants and r/startups carry this demand every week.

Leadverse surfaces those posts and filters them for hiring intent. Everything below comes from authors actively looking to delegate work to a VA, a fractional hire or an augmented team. The feed rotates weekly, so these are people feeling the pain right now.

Personal versus business calendar management

I posted awhile back about whether or not my expectations were too high with my EA and received a ton of great feedback from this community. I’ve made some changes and am officially beginning my search for a new EA. Based on the information shared here, I feel much more prepared to ask better questions as I begin my search - so thank you to everyone who took the time to respond. I do have a question that wasn’t covered. For an EA reporting to a CEO, how do you feel about managing personal appointments when it comes to calendar management? Occasionally a meeting will come up that conflicts with a doctor appointment for myself or my child and my previous EA would offer to reschedule the appointment. I was surprised to learn that she later stated to others that personal calendar management wasn’t an EA’s job. I’m fine handling it on my own. I certainly don’t want to demean the role, but it would be nice to hear from others working in mid to large organizations if this is the norm?

Best Remote Executive Assistant on Reddit

Who is the best remote executive assistant on Reddit? I've essentially been using AI, but even that can only do so much. I am a serial entrepreneur, ADHD and have like 172 projects going on at any one time with countless stakeholders. Things are slipping through the cracks a bit too much for me and I am not naturally organized. I took too much pride in not having an assistant for too long. I turned my ecommerce freelance consulting into a small growth agency and have a few employees I found through a recruiter. Before going back to said recruiter, something told me to try Reddit first.

Solo practitioners, anyone hire a virtual executive assistant

I have a small firm with just me and one paralegal. Im spending way too much time on stuff that doesnt make money, intake calls ,scheduling deps conflicts, checking client followups. All necessary but not billable. Has anyone actually integrated a VA into a law practice successfully. My main concerns are confidentiality with client data, malpractice insurance implications, and bar rules on outsourcing work. I want to hear from people who actually did this not just people thinking about it

running a small business in aus is hard enough without the admin nightmare

small trade business last year just me and one employee. thought the hard part would be finding work. turns out thats easy compared to everything else. quotes, invoices, tracking expenses, super, bas. its a full time job on top of doing the work. im spending my weekends sorting through receipts and trying to remember what i bought and for which job. tried a few different systems spreadsheets mostly. but i keep falling behind and then playing catchup. its exhausting. been looking at better ways to manage this stuff. any other aus business owners feel like the admin is slowly killing you. how do you actually stay on top of it

Agentic Process Engineer Open

Hey, I'm hiring an agentic process engineer for my startup. I don't care for school, your years of experience. I care that you love building with AI while doing it safely. Feel free to DM and let's jam about your work. About the job Who We Are Four Solutions Group is an Operating Intelligence Company. We build AI systems that learn a business instead of forcing the business to learn AI. We ship production agentic systems for enterprise clients in regulated and complex industries, and we move fast. This is a startup. There is no playbook, no layers of approval, and nowhere to hide. That is the point. The Role You will design, build, and ship agentic systems end-to-end. Not prompt wrappers. Not demos. Real closed-loop systems that observe, decide, act, and verify their own work inside client environments. You will sit with clients, map their operating reality, and translate messy business processes into governed multi-agent architectures that actually run in production. You will own problems, not tickets. If something is broken, you fix it. If something is missing, you build it. If a client is confused, you get on the call. What You Will Do Design and build agents from scratch: orchestration, tool use, memory, evaluation, and guardrails. Build closed-loop systems where agent output is verified, corrected, and improved without a human babysitting every step. Work directly with clients to scope, demo, and deploy. Translate ambiguity into architecture. Write clearly, present clearly, and defend your design decisions in the room. Push work forward without being told what to do next. What You Bring Deep working knowledge of LLMs: how they behave, where they fail, and how to build around both Hands-on experience building agents from scratch, not just assembling off-the-shelf frameworks Familiarity with closed-loop system design: feedback, verification, self-correction Side projects. You have built agentic systems on your own time because you could not help yourself. Show us. Excellent communication. You can explain a multi-agent architecture to an engineer and a COO in the same meeting. Agency. You are a go-getter who works autonomously, finds the problem, and closes it without waiting for permission. Strong Plus Prior consulting experience Client-facing delivery experience: you have sat across from a customer and owned the outcome How We Work Small team, high trust, high ownership. You will have direct exposure to founders, clients, and the full lifecycle of every engagement. Your work ships and clients use it. If you need structure handed to you, this is not your place. If you create structure where none exists, we should talk. How to Apply Send us something you built. A repo, a demo, a write-up of an agentic system you shipped on the side. Skip the cover letter. Show us the work.

Hiring: English-Speaking Virtual Assistant (Remote)

I'm looking for a reliable and confident Virtual Assistant to join my growing U.S.-based startup. This role is primarily focused on answering inbound phone calls from homeowners, landowners, and business owners across the United States who have received one of our handwritten letters and are interested in speaking with us. Your job is to build trust, gather information, answer basic questions, and schedule appointments for our team. There is no cold calling. The only outbound calls would be if a customer requests a callback or if you miss an incoming call and need to return it promptly. Responsibilities Answer inbound phone calls professionally. Build trust and have natural, engaging conversations with callers. Gather information about their property, land, or business. Schedule appointments and keep accurate notes. Follow up with callers when requested. Represent our company in a professional and friendly manner. Requirements Must be fluent in English with a clear, neutral, or American-style accent. Previous sales experience is required. Must know how to build trust and carry a natural conversation with customers. Must be confident handling objections and keeping conversations moving. Must be able to think on your feet and go beyond the script when the situation requires it. Excellent active listening and communication skills. Reliable internet connection and a quiet workspace. Must be available to work during U.S. business hours. We're not looking for someone who simply reads a script—we're looking for someone who can build trust, adapt to each conversation, and make callers feel comfortable. Every conversation is different, and we're looking for someone who can think independently while representing our company professionally. Compensation Compensation will be based on your experience and performance and will be discussed during the interview. In addition to your base pay, we offer generous performance bonuses for successful deals that close. Since we're still in the early stages of building the company, we're keeping things flexible. As we continue to grow and hire more team members, we'll move to a structured schedule with fixed shifts and days off. There will also be opportunities to grow with the company and take on additional responsibilities as we expand. How to Apply Please email the following to Your CV/Resume A 1–2 minute introduction video in English A 1–2 minute voice recording so I can evaluate your communication skills A brief summary of your previous sales or customer service experience If you're a confident communicator who enjoys talking to people and wants to grow with a long-term U.S.-based startup, I'd love to hear from you.

New Personal Assistant / Executive Assistant

I am in a London based company with a team of about 200 spread across London, France, Hong Kong and Australia. Up to now I have managed all my own diaries, travel, expenses, presentations etc. I am now at a point where this is getting too much for me. I want to hire an EA or PA but HR and finance are pushing back due to the expense and the perception that having a secretary is outdated. Anyone else had similar issues - if so, how did you reframe this? Thanks

How are you finding companies to help build your software?

I'm currently building a start up with my co-founder and honestly the work load is getting a bit too much for me. I'm a software dev so I'm building the meat of the project and paying people in my small network to design and build the frontend and various websites. Buuuuut managing my friends is a whole job in itself if I'm honest and I think I really need to just part ways with sections of work. I have been trying to find a decent company to take on all the small things i don't have time for but every time I'm bombarded with people trying to upsell me, or offer the moon, and it's very clear most of these guys have no idea what they're talking about and just want to sell me a dream. I've tried networking events, I've tried linkedin, but I just can't seem to find someone who isn't obviously just trying to make a sale. Google doesn't seem to come up with anything either.

Total overwhelm with texts (currently recovering from burnout and seeking advice from those who’ve had a similar experience)

Hi everyone, I’ll try to keep this short (it probably won’t be!) I’m slogging through the process of recovery following a huge burnout/breakdown about 18 months ago\ It’s a slow and difficult process (lots of instances of one step forward and two steps back) but I’m gradually making progress with most aspects of life. However, the one thing that’s getting worse is my anxiety and executive function in regards to text messages. I used to be a very sociable person and I’ve always had a busy inbox because of that. My family, friends, colleagues and acquaintances are all generally aware that I’m not a fan of texting and are used to me taking days, weeks or months to reply (or even not getting one at all). In recent years I’ve preempted disappointment by telling people that I’m a ‘bad texter’ whenever I give out my number (which has been super helpful so I highly recommend doing this!) I even have the word ‘offline’ pasted over my WhatsApp profile picture. However, since my breakdown I’ve gradually gone from texting being a necessary chore to something that I actively dread and avoid doing completely. I think I could now truthfully call it a phobia. My unread message threads are in the hundreds and even my most understanding contacts are becoming frustrated. I’m missing important things to do with work or my volunteering role. I think it’s a combination of things… I feel so overwhelmed that even the smallest additional, unexpected task feels like a mammoth chore. In addition, I know that I’ve been a crappy friend so I’m scared of the contents and I know that many of my replies need to include thoughtful apologies or explanations (this isn’t a false perception, I genuinely have complicated things to resolve). I’ve become so conflict-avoidant that I’m in full functional freeze mode. This has become something that’s significantly affecting my relationships and causing me constant stress. It’s so bloody stupid! So, I’m just wondering, has anyone been in a similar experience and worked their way back out of it? Some extra details for context: \-I can’t currently afford therapy sessions (frustrating as my therapist is brilliant). \-I’ve tried the tactic of writing a short stand-in message to say that I’m overwhelmed but I’ll respond soon. It’s been met with understanding but it generally hasn’t really worked for me as it’s just kicking the issue further down the line (especially as I then don’t respond ‘soon’) \-I’ve had some success with body doubling or tackling an inbox whilst having trash tv on in the background. Maybe this is something to go harder on? Thanks in advance to anyone who can help, advise or even just sympathise!

Is it worth it to hire virtual assistant help or should I just do it myself

On the fence and going back and forth. Half my week is admin that I'm not even good at, but every time I think about hiring I talk myself out of it over cost and training time. For those who pulled the trigger, when did it actually make sense? Was there a certain number of hours or a breaking point where it just clicked? Trying to figure out if I'm there yet or just tired.

Looking for a GenAI development company in the USA for an automation-heavy project. Who’s actually good?

We talk a lot here about AI automations, agents, RAG pipelines, copilots, and workflow orchestration, but I’m now looking at this from the other side: finding a GenAI development company that can actually build and ship this stuff well. The use case is less “build me a chatbot” and more along the lines of: 1. LLM-powered workflow automation 2. RAG / knowledge retrieval over internal docs + structured data 3. agentic workflows with tool calling and multi-step task execution 4. human-in-the-loop review layers for sensitive actions 5. integration with existing business systems / CRMs / support stacks / internal tools 6. monitoring, evals, guardrails, and reliability beyond the demo stage Basically, I’m trying to separate companies that can build real GenAI systems for business process automation from companies that just wrap an API and call it innovation. A few names I’ve come across so far: SapidBlue Technologies LeewayHertz HatchWorks AI Azumo Simform DataToBiz ThirdEye Data I’d love input from anyone who has actually evaluated or worked with GenAI development partners in the US. Who would make your shortlist? Who’s genuinely strong in automation + GenAI, not just one-off chatbot builds? Any companies you’d avoid? I’m especially interested in firms that understand the messy part: process design, orchestration, retrieval quality, hallucination control, and getting AI into actual business workflows without it turning into an expensive science project.

Our invoice flow doesn't make sense

Our invoices started stacking up around 120/150 a month and that’s when everything went wrong even though it was the same vendors same process but suddenly things were getting paid late and we had no clear view of what was outstanding. Nothing broke in an obvious way i think it was just invoices in email and tracking in a sheet thats off all the time and now it feels like we're doing the same work twice and still missing things.

$30/hr Remote Personal VA (10hrs/month)

Why I'm looking: My current VA has unfortunately become sloppy in recent months... adding items to my calendar that belong to their other clients, repeated typos / ignoring requested formatting, and ill-equipped to handle recent/expanded tasks like speaking with retail SAs (it's very easy, they just seem very unfamiliar tbh). The asks are straight-forward and only \10/hrs per month. I can see increasing hours in the future with the right person (ex. email mgmt), but I don't want to overpromise at this stage. It's objectively light work (my life is pretty dull), but management of these tasks are a mega help to me. Ongoing asks (all personal): \- Calendar management \- Manual bills one-off invoices - payments \- Service scheduling and comms (like landscaping, grooming, doctors), most of which is by phone. As needed: \- Reservations \- Retail comms / Finding and purchasing items. Should be familiar talking with SAs. \- Light research (like: best doctor for X in this city based on X criteria) \- Groceries ordering \- To-do list organization Must be located in the US and willing to sign NDA. Hours are generally whatever works for you (contractor). Paid via Venmo. I prefer to email tasks; I hate texting. Apologies if this is the wrong sub for this! If interested, if you'll please: 1) share your state, 2) confirm 21+, and 3) share any brief, relevant details. No need to share resume (though, you're welcome to) or any personal/identifying info at first contact. Thank you!

Has anyone tried to use a virtual assistant for legal administrative tasks?

I've been operating a solo practice for almost four years. Time that should be spent on actual legal work, such as client intake, consultation scheduling, document formatting, obtaining signatures and other tasks, is beginning to be diverted by the administrative layer. It takes hours, but it doesn't require paralegal-level knowledge and it seems excessive given my current situation to hire a full-time, in-person employee for it. Has anyone followed this path in a single practice or small firm?

anyone using ai tools that actually help with business operation, not just content?

most ai tools I see recommended are for writing posts, making images, or brainstorming ideas. Useful, but that is not really where I personally spend most of my time. I’m more interested in tools that help with business operation. Tasks like customer follow ups, inbox management, quoting, scheduling, CRM updates, reporting, SOP creation, and general admin workflows. Has anyone found tools that actually handle these kinds of tasks reliably without constant supervision or needing to hire a team member?
